An AI receptionist that answers when you cannot

An AI receptionist is a voice assistant that answers your business phone, asks the questions you choose, and books an appointment or takes a message. We set it up with your services, hours, and rules, and make sure callers can always reach a person. It fits businesses that lose calls during jobs, appointments, and after hours.

What is an AI receptionist?

An AI receptionist is software that answers phone calls with a natural-sounding voice. It can answer common questions, collect details from the caller, and book or hand off the call, based on rules you set.

Who is AI receptionist for?

Businesses with a steady stream of calls and nobody free to answer them, such as home services, auto repair, and appointment-based offices.

What problem does it solve?

Hiring a full-time receptionist is not realistic for many small shops, and voicemail loses callers. An AI receptionist can cover the gap, but only if it is set up carefully. A poorly set up one frustrates callers and costs you customers.

What do we set up?

  • A call flow built from your real calls: the questions people ask, the details you need, and the jobs you do and do not take.
  • Your hours, services, and service area, so the assistant answers correctly or says it will pass the question on.
  • Booking into your calendar, or a clean message sent to you by text or email.
  • A clear handoff: callers who want a person, or who describe an emergency, are routed to you or told what to do.
  • Testing with your own call scenarios before it goes live, and adjustments in the first weeks.

What will you see each month?

  • A summary of calls handled, bookings made, and messages taken.
  • Calls that went poorly and what we changed because of them.
  • One suggestion for the next month.

What does it not do?

  • It does not replace you or your staff for hard conversations.
  • It does not give legal, medical, or financial advice.
  • It does not guarantee every call goes perfectly. Voice AI can mishear names, numbers, and accents. That is why we test and keep a human fallback.

What about call recording and telling callers it is an AI?

An AI receptionist should announce that the call may be recorded or handled by an AI assistant. We configure that announcement at the start of the call.

Illinois has rules about recording private conversations, and they generally require consent from the people on the call. We configure the greeting with those consent rules in mind. We cannot guarantee legal compliance for your business, because that depends on how you use the system. This is not legal advice. Ask your own attorney about your situation.

What can go wrong with an AI receptionist?

These are the common problems, and what we do about each.

  • It mishears a name or phone number. We have it confirm details back to the caller and send you the message so you can check it.
  • It cannot answer a question. It says so, takes a message, and tells the caller who will follow up.
  • The caller wants a person. It hands the call off or takes a message, and never traps them.
  • It says something wrong about your business. We limit it to the information you approved and review real calls with you.

When is the best time to start?

Switch it on before your busy season so you have time to listen to real calls and adjust. Starting during the rush works too, but you will be less able to review how it is doing.

Who do we help with this?

These are some of the local businesses that use this kind of setup:

Please don't include health or patient information in this form.

How much does it cost?

Frequently asked questions

How much does an AI receptionist cost for a small business?

It depends on your business, so we don't guess here. Starting points are shared on your free walkthrough. The free online presence audit comes first, and there is no obligation to buy anything after it.

Will callers know it is an AI?

Yes. The greeting says that the call may be recorded or handled by an AI assistant. We do not try to pass it off as a person.

What happens if it cannot help a caller?

It takes a message and tells the caller who will follow up, or hands the call to a person if you have set that up. We test these cases before going live.

Is this legal advice about recording calls?

No. This is not legal advice. Recording and consent rules depend on your situation, so talk to your own attorney. We configure the announcement and consent language with Illinois rules in mind.

How do you handle patient information?

We ask that nobody put health or patient information into our forms, and we build nothing that collects it. If a tool we set up could touch patient data, it has to come from a vendor that will sign a business associate agreement (BAA). If a vendor will not sign one, we do not use that tool for patient information.
